Best Practice: Apple IDs and Keynote Collaboration in Your Business

A management challenge — and security concern — for businesses is the Apple ID. Organizations do not want personal Apple IDs signed into company-owned devices due to the possibility of syncing files to and from personal computers. Apple is promising managed Apple IDs for business in the fall. Until then, we recommend asking employees to manually create a company Apple ID using their company email address. These Apple IDs will only be used on a company-owned device to prevent co-mingling of personal and work data.

Create a Company Email Apple ID
Create an Apple ID using your company email (example: yourname@companydomain.com) by going to the Apple ID account page and click Create your Apple ID. 

Collaborate Using your Company Email Apple ID

1. Sign in to iCloud on your Mac using your company email Apple ID.
   • Choose Apple menu > System Preferences, then click iCloud.
   • Click on the iCloud icon & sign in with your newly created Apple ID.
   • Select your sync options inline with your company data security and privacy policies. If you’re focusing on Collaboration features, disable everything except iCloud Drive
2. Download Keynote from the Mac App Store using your company email Apple ID.
3. Participate in collaboration using your company email Apple ID and invite others to participate using their company email Apple ID.

Requirements for Keynote Collaboration

• An Apple ID signed in to iCloud on your Mac with iCloud Drive enabled.
• macOS High Sierra 10.13 or later.
• Keynote 9.1 or later.
